Hirer privacy notice
How El Sayyed Institute (a charity) uses the information you give us when you apply to hire our facilities.
What we hold
Your (or your organisation's) name and contact details, the purpose and dates of hire, evidence you provide (such as an insurance certificate and, where relevant, safeguarding evidence), and a record that you accepted our terms of hire.
Why we hold it, and our lawful basis
- Contract — to administer your booking and the hire agreement.
- Legitimate interests — to verify identity and insurance and to protect our premises, the children who use them, and the charity.
- Legal obligation — to keep proper accounting and safeguarding records.
How long we keep it
Booking and financial records are kept for 6 years (charity & tax requirements). Supporting identity checks are disposed of once verification is complete. We do not keep more than the hire needs.
Sharing
We do not sell your data. We share it only where necessary to run the hire or where required by law (for example, a safeguarding or insurance matter).
Your rights
You may ask to see the information we hold about you, ask us to correct it, or raise a concern. Contact the office at admin@el-sayyed.org. You may also complain to the Information Commissioner's Office (ico.org.uk).
